Digital receipt, evaluation function and other new features of JTL-POS

In our last blog post on the new features of our POS software, we already announced the digital receipt and an evaluation function. Now the time has come! Both functions have been available for you since version 1.0.4.10 of JTL-POS and take the convenience of your checkout to a new level. But these features are not all: Today we are presenting a whole range of other new functions that make working with JTL-POS even more convenient.

For development reasons, the JTL-POS WebManager, which gives you access to the “Digital receipt” and “Customer reviews” functions, can no longer be booked and will be discontinued on 31.12.2025. We will inform you as soon as we offer an alternative solution. JTL customers who are currently still using POS WebManager can continue to do so until the end of 2025.

Modern checkout with the digital receipt

Since the introduction of the obligation to issue receipts as part of the Cash Register Security Ordinance 2020 (KassenSichV for short), the digital receipt has been one of the “most wanted” features of our community. The receipt obligation stipulates that retailers must hand out receipts to their customers that show the following data, among other things: the serial number of the cash register or technical security device, the signature counter and a check value.

The obligation to print receipts has caused some resentment in the retail sector. Especially for stores such as bakeries or kiosks, where almost exclusively small amounts are billed, the constant printing of receipts is hardly practicable. We have developed the “Digital receipt” function for JTL-POS to reduce the environmentally harmful flood of paper on the one hand and to offer your customers more convenience when shopping on the other.

Scanning instead of printing: how the digital receipt works

After the purchase, a QR code is displayed on the checkout or customer screen, which your customers can scan with their smartphone. In terms of hardware, you remain completely flexible: you can simply use the smartphone, tablet or monitor on which you operate JTL-POS to display the QR code. Or you can use a separate customer display, which has the advantage that you don’t have to turn your screen towards the customer every time. All you need to do is download our free JTL-POS CustomerDisplay app from Google Play.

By scanning the QR code, your customers can open the digital receipt in their smartphone browser and download the receipt as a PDF or have it sent to them by email. Your customers do not need an app, as the digital document is retrieved entirely via a website. Not unimportant from a GDPR perspective: the customer’s email address is irrevocably deleted after sending.

A special benefit for you as an entrepreneur: You can customize the layout of the digital receipt without any design knowledge and add your company logo to cleverly increase your brand awareness.

The new rating function

In combination with the Digital Receipt, you now have another exciting function at your disposal: Your customers can use the Digital Receipt interface to provide direct, anonymous feedback on their shopping experience or conveniently write a Google review. On the one hand, this encourages more ranking-relevant customer reviews, and on the other hand, you can use the feedback to improve your business. You can also configure the mask of the new review function according to your personal requirements and adapt it to your corporate design.

JTL-POS WebManager: Your control center for the digital receipt

For development reasons, the JTL-POS WebManager, which gives you access to the “Digital receipt” and “Customer reviews” functions, can no longer be booked and will be discontinued on 31.12.2025. We will inform you as soon as we offer an alternative solution. JTL customers who are currently still using POS WebManager can continue to do so until the end of 2025.

To gain access to the new “Digital receipt” and “Customer reviews” functions, you need to connect your checkout to our newly implemented JTL-POS WebManager. You can now book this fee-based module via our customer center.

JTL-POS WebManager acts as a cloud in which you can centrally manage all digital documents and customer reviews. The dashboard gives you an overview of all cash registers and stores that are connected to the web app. You can customize the text and design of the digital receipt for each store, and the input masks for customer feedback can also be flexibly adapted. A preview function allows you to see immediately how the digital receipt will be displayed to your customers in the future.

In the receipt archive, you can call up all documents that have been issued at your cash registers. Whether receipt number, gross and net amount, date of issue, payment method or (registered) customer – you can see all the information at a glance. All customer reviews can also be viewed in the WebManager, sorted by details such as date or branch and assigned to the cashier involved.

You can look forward to more great features in the near future. The functionality of the JTL-POS WebManager will soon be extended by an inventory module, which will enable cross-store item and customer management without integration to JTL-Wawi.

Failover for technical safety equipment (TSE)

In order to prevent sales data manipulation, the KassenSichV 2020 stipulates that all electronic recording systems in Germany must be equipped with a certified technical security device ( TSE for short) as of January 1, 2020. We recently discussed what this means for your work with JTL-Wawi in a separate blog post on JTL-POS, JTL-Wawi and the KassenSichV.

The TSE provides all cash register transactions with an electronic signature and stores them together with other transaction data in an unalterable log. But what happens if the TSE fails? How can it be documented before the tax office that there was a technical malfunction and not an attempt at manipulation?

With the latest version of JTL-POS, you are prepared for such situations: In the event of a TSE failure, our POS software logs all relevant data in an audit-proof manner in accordance with the GDPR, so that you only have to submit a failure report via CSV export in the event of a tax audit.

In order to inform the responsible employees in the company, a failure document is also issued, as well as a troubleshooting document after the system has been put back into operation, the automatic printing of which can also be disabled from the next version.

All listed receipts affected by the error also receive a note and a number instead of the signature, which can be clearly assigned to a TSE failure document and thus to an error:

Once the problem has been resolved and the TSE is reconnected and ready for use, JTL-POS issues a troubleshooting document which, among other things, lists the affected receipts again.

The “failure logs” of your TSE can then be exported to provide clear and complete documentation for audits by the tax office or for self-monitoring.

The export contains the information:

  • Manufacturer (… of the TSE)
  • Serial number (… of the TSE)
  • Receipt number (… of the receipt concerned)
  • Time of failure (date & time)
  • Failure number (consecutive)
  • Error code

New export type: "DATEV cash book online"

You can now make full use of the new “DATEV Kassenbuch online” service: Under “Bookings”, you can easily authorize the export of your cash receipt records for the online service from DATEV.

The advantages are obvious: uploading to the online portal allows you to prepare your accounting more quickly, as your tax advisor even has access to up-to-date evaluations of your cash register. In addition, the digital documents are archived in the DATEV data center in an audit-proof manner, which means an increase in control and security for you and your accounting department. Extended cashbook export for non-cash payments

Many of you have requested the extended cash book for non-cash payments: As you know, a cash book normally only records cash transactions (sales & deposits/withdrawals). However, it makes accounting work easier if you can find an overview of the sales made per payment type in the cash book and non-cash payments (card payments) are also listed there.

Under the “Cash book” menu item, you can now use the “Create cash book for all documents” button to create a cash book that includes all postings – regardless of the payment type.

Individual print commands for receipt templates in hex format

To give you a free choice when selecting your receipt printer, as an administrator you can add individual control codes in hex format to the receipt template. This allows you to store printer commands that are not yet natively supported by our POS software.

By the way: You can find the control codes of your printer manufacturer in their documentation or the manual of your device.
